Executive/Secretary Pairs
Stations within the system can be designated in pairs with one station assigned as "Executive",
and the other as "Secretary". The purpose of this pairing is so that when the Executive station
is busy or in DND, intercom and transferred calls can be automatically routed to the designated
Secretary.
CONDITIONS
The maximum number of Executive/Secretary pairs is six.
One Executive station can be associated with multiple Secretary stations within the
maximum pairs (six). In addition, one Secretary station can be assigned to multiple
Executive stations within the maximum pairs (six).
It is possible to link (in a "chain") assigned Executive/Secretary pairs with other pairs
(within he maximum (six). This means that a Secretary can be the Executive station to
another Executive/Secretary pair. If a Secretary station has its own designated Secretary
station, and the associated Executive and the original Secretary station are both busy,
calls are automatically forwarded to the second Secretary within the chain.
NOTE: Executive-Secretary (chains as described above) cannot be set up as a loop chain.
If multiple Secretary stations are assigned to an Executive station, and the first Secretary
station in the group is busy, calls are automatically forwarded to the next designated
Secretary.
If an Executive has multiple secretaries, a Secretary can forward a call to another
Secretary. The Secretary cannot forward a call to the Executive.
When the Executive station is busy or in DND, the designated Secretary station receives
the CO call ring. However, when the Executive station is idle, the Executive station receive
the CO call ring.
When both Executive and Secretary are busy, Camp-On (see 1-38) or transferred calls, as
well as messages, remain at the Secretary station. If the Secretary is part of a chain, the
calls (as mentioned) will remain at the last designated Secretary within the chain.
When the Executive station is in DND:
- the Secretary station can use the Camp-On (see 1-38) feature to send the call to the
Executive station.
- the Secretary can use Camp-On (see 1-38) or transfer a call to another extension.
If an Executive forwards calls to a non-Secretary station, calls to the Executive station will
be routed to the designated forward-to station.
